OARS recording issues
Details:

FOR THE PARTICULAR ATTENTION OF ALL BOB DRIVERS

When entering job data onto OARS, it is still very apparent that a number of BoB drivers are recording relayed jobs as 'Standard' when they should be recorded as a 'Relay'

e.g. Empty boxes back to Cumbria should be 'RVI' to '_Relays Cumbria Handover' - Equipment/Relay

In effect any job that is relayed between either another Blood Bike Group or with another NBB vehicle is automatically logged as a Relay since 2 or more separate journeys have occurred in order to complete that job.

Similarly collections for NSECH from both DMH & UHND which are more frequent now on the BoB run should also be recorded as Relays if they are transferred to another NBB vehicle at the RVI (or other agreed location) irrespective of how the original job was passed over. In order to keep the mileage down on the BoB car which currently completes around 50,000 miles per year, BoB drivers should arrange a handover with the shift controller at the RVI preferably on return from the south. If workloads are particularly high then the shift controller may ask the BoB driver to deliver these packages themselves but stressing that this should be the exception and not the rule.

Due to the way these jobs require to be recorded, any RVI handover should be arranged with the Shift Controller prior to completing paperwork to ensure the correct details are handed over to the collection hospital (see example below).

If the BoB driver goes direct to NSECH, then the job will be recorded as originally passed by the controller i.e. 'Samples/Standard' however if an Internal NBB Handover is arranged, then please ensure the job sheets are completed correctly as this is creating a number of recording errors at present, so for example DMH samples for NSECH would require riders & drivers to record each stage as:

Collection - Drivers to record as Collected from 'DMH', Samples/Relay, Deliver to 'NSECH via NBB Handover' (not RVI or other agreed location as this is merely the handover point). The Yellow job sheet should be handed to the delivery relay rider/driver at RVI/other agreed location. This must be agreed with the Shift Controller to ensure packages don't go astray.

Transfer & Delivery - Riders/Drivers to record as Collected from 'NBB Handover', Samples/Relay, Deliver to 'NSECH’ Hand the White job sheet to the BoB driver as they effectively become the sender of that package.

When entering jobs onto OARS, it is good practice to enter the other relay job number (from either yellow or white exchange copy as above) into the 'Other Details' comments box so as to tie the two parts together as effectively a single job.

Shift Controllers will complete their jobs in a similar manner with two entries put onto OARS and linking the job numbers in the comments box.

On a separate note, if drivers find an envelope in the blood cabinet marked for NBB to return to RVI, then please record as 'Notes'. This will be a periodic return of job receipts.

If anyone requires further clarification, please contact Paul Curran who regularly checks job inputs as part of his controller training role.
